Director of Operations & Application Processing

The Consortium for Graduate Study in Management (The Consortium) Chesterfield, MO
Reports to: Vice President, Program Administration
Direct report: Application Processor
Full-time Exempt

Summary:

The Director of Operations & Application Processing will work on the Operations team and supervise the Application Processor. While managing the day-to-day operations, the primary responsibilities will include maintaining ApplyYourself and Connect EMT, processing a high-volume of applications, and coordinating the application flow with member schools.

Qualifications:

  • Bachelor’s degree required.
  • Proficient software and systems user with the ability to learn software and systems such as Microsoft Office Products, ApplyYourself and Connect EMT.
  • Knowledge of ApplyYourself and Connect EMT a plus.
  • Two to five years of supervisory experience.
  • A high level of professionalism and a strong work ethic.
  • Capable of working effectively in diverse environments and with diverse constituencies.
  • Highly motivated self-starter capable of multi-tasking.
  • Outstanding team player who leads by example and works effectively with others across all departments to achieve successful outcomes.
  • Ability to be flexible and diplomatic in a dynamic environment.
  • Strong organizational skills, attention to details and the ability to produce a quality work product.
  • Excellent interpersonal skills.
  • Excellent verbal and written communications skills.

Duties:

Application and Database Management (50%)

  • Leads the Operations team.
  • Provide support to staff and schools as needed in use of AY and Connect resources, customization, etc.
  • Processes Round 1 and Round 1 applications as needed.
  • Oversee AY Annual Updates and VIP page updates.
  • Work with Application Processor to create a consistent automated reporting system in AY and Connect.
  • Manages the release of applicant rankings to member schools.
  • Manages school-referred application process.
  • Partner with VP, Program Administration and Director, Recruiting to:
    • Compile and maintain data for the following reports; school profile reports, student status reports, applicant by member school data report, weekly report and applicant fee analysis report.

Fellowship Selection Meeting (20%)

  • Maintains the grid before, during and after the Fellowship Selection Meeting.
  • Manages admissions decision updates submitted by schools.
  • Manage decision import and export process updates and annual training for schools in preparation for Fellowship Selection Meeting.

Enrollment and Student Services (20%)

  • Oversee preparation of applicant offer letters and mailing of enrollment and OP documents in conjunction with Application Processor.
  • Work jointly with Recruiting to maintain list and count of offers and accept/decline for incoming class.
  • Solicit and update student status reports from schools annually.
  • Maintain enrollment and graduation records for each Consortium class.

Orientation Program (5%)

  • Serve as one of the on-site staff team leaders at OP.
  • Attend weekly OP Preparation meetings.
  • Other duties as assigned.

Other Duties (5%)

  • Assist Director, Recruiting in developing and implementing routine training for new members of the Operations and Recruiting Team.
  • Other duties as assigned.

Application Processor

Full-time Exempt

Summary:

The Application Processor will work on the Operations team and provide support to the Recruiting team. While assisting Operations, the primary responsibilities will include processing a high-volume of applications, coordinating the application flow with member schools and maintaining the in-house inquiry database and tracking system.

Qualifications:

  • Bachelor’s degree preferred.
  • Proficient software and systems user with the ability to learn software and systems such as of Microsoft Office Products, Apply Yourself and Connect EMT.
  • A high level of professionalism and a strong work ethic.
  • Capable of working effectively in diverse environments and with diverse constituencies.
  • Highly motivated self-starter capable of multi-tasking and prioritizing competing demands.
  • Outstanding team player who leads by example and works effectively with others across all departments to achieve successful outcomes.
  • Ability to be flexible and diplomatic in a dynamic environment.
  • Strong organizational skills, attention to details and ability to produce a quality work product.
  • Excellent interpersonal, verbal and written communication skills.

Duties:

  • Maintains in-house inquiry database and tracking system.
  • Receives and processes application materials.
  • Tracks correspondence sent to information session attendees, prospects and applicants.
  • Monitors recruiting material inventory.
  • Coordinate the packing and shipment of recruitment materials for events.
  • Facilitate application releases to schools.
  • Respond to inquiries and requests from prospective students, member schools and other constituents as needed.
  • Coordinate annual updates with Director of Operations & Application Processing, assigned schools, and Hobsons.
  • Organize and maintain archive files and data.
  • Create Fellowship and Membership Letters.
  • Serve as one of the on-site staff at OP.
  • Other duties as assigned.
